Job Description

Location - 

Role: Finance & Administrative Assistant

The role is responsible for providing end-to-end financial, administrative, and executive support to the CMDs office. The incumbent will manage banking and financial formalities, ensure accurate documentation, coordinate with internal and external stakeholders, and oversee calendar management, travel, facilities, and board meeting arrangements with high levels of confidentiality and professionalism.

Key Responsibilities

Financial & Banking Coordination

  • Handle routine banking formalities, documentation, and liaison with banks and financial institutions
  • Coordinate financial paperwork related to approvals, payments, guarantees, deposits, and statutory submissions
  • Maintain accurate records of financial documents, agreements, and correspondence
  • Support finance team in compliance-related documentation and audits as required

Documentation & Records Management

  • Prepare, review, organize, and maintain confidential files, financial records, contracts, and official correspondence
  • Ensure timely follow-up on approvals, signatures, and document circulation
  • Maintain both physical and digital filing systems with version control as per Company policy

Coordination

  • Coordinate with CMD’s office and internal departments, board members, and external stakeholders
  • Handle sensitive communication with discretion and professionalism
  • Track action items, commitments, and follow-ups from CMD interactions

Board & Leadership Meeting Management

  • Coordinate Board Meetings, Committee Meetings, and senior leadership meetings
  • Manage end-to-end arrangements including agenda circulation, presentations, minutes of meetings, and follow-ups
  • Ensure compliance with governance and confidentiality requirements

Administrative & Executive Support

  • Manage calendar scheduling, appointments, and meeting coordination
  • Handle travel planning, visa arrangements, logistics, and expense coordination
  • Coordinate guest management, office facilities, and protocol arrangements
  • Liaise with facility management teams for office upkeep and logistics support

Stakeholder Coordination

  • Coordinate with internal teams (Finance, Legal, HR, Secretarial) and external stakeholders such as banks, auditors, consultants, and vendors
  • Ensure smooth information flow and timely closure of actions

Key Skills & Competencies

  • Strong understanding of banking processes and financial documentation
  • Excellent organizational, coordination, and multitasking abilities
  • High level of confidentiality, integrity, and attention to detail
  • Strong written and verbal communication skills
  • Ability to work independently with senior leadership
  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)
  • Calm, composed, and solution-oriented approach

Qualification

  • Graduate in Commerce / Finance / Business Administration (preferred)

Preferred Background

  • Experience supporting CXO / CMD / Board-level leadership
  • Exposure to corporate governance, board processes, or secretarial coordination
